Policies and Procedures describe some high level rules or thoughts on how we should handle different things at GPN. This includes things like how we are allowed to use photos from our events, how we handle the personal data that we collect from students, or what to do if a student doesn't get picked up from an event.
Policies and procedures sound really boring, but we've done our best to make this as short and relevant to you as possible! It's really important that all our GPN leaders understand what these rules are and how they relate to the work that you all do. If you're ever unsure of a policy or procedure, please reach out! We are happy to take on any feedback and work together to make sure these documents are clear and useful for everyone!
Once a year, every GPN leader, whether you're a node lead, node liaison or committee member, needs to complete the Policy Review form to acknowledge that you have read and understood the policies and procedures that are necessary for your role. If you do not complete this in a timely manner, your access to GPN systems will be revoked.
As a tutor at GPN you don't need to read the full policy or procedures, but here's some things you should know! Think of these like a TL;DR, if you want more info you can read the full document linked.
Do not take photos of students at the event without permission from the event leads - they know who does or doesn't have permission for a photo!
Do not post photos that have student faces or name tags visible on your own social media profiles
If you have suspiscion of child abuse, you are required to report it to the relevate child protection service or the police. You should also notify your event leads, who will help you escalate the concern, or the COO or CEO.
A Safety Officer will be appointed for every GPN event and will have relevant and up-to-date first aid training.
They will do a safety check before every event & will manage the first aid kit and any safety incidents that come up on the day.
A wellbeing officer will be appointed for every GPN event.
They will contact any students before the event that may need extra wellbeing support & write up support plans
They will make sure that volunteers who need to know about support plans get all the information they need
They are also responsible for helping handle any wellbeing incidents that may come up on the day
Any students leaving early need to have parent or guardian approval & we need to keep a record of when they left, in case a parent comes looking for them later. If a student asks you to leave early, just let the event leads know & they can help you with it.
The Rule of Three states that a minimum of 3 people need to be present for supervision and at least one must be an adult, for example 2 students and 1 adult or 2 adults and 1 student is okay. This protects both students and volunteers.
Everyone at a GPN event must have a WWCC or local equivalent
We store personal data about students and volunteers and do our best to make sure it's kept safe and secure
We delete or de-identify data that we've had for more than 7 years
